1. Introduction and Scope

KnowledgeKeepr AI Ltd. ("KnowledgeKeepr," "we," "us," or "our") is a British Columbia corporation operating a community intelligence platform. We are committed to protecting the privacy of individuals who visit our website and use our services (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard personal information in connection with the Service.

This Policy applies to personal information collected from users of the Service, including individuals accessing the platform on behalf of government agencies, consulting firms, industry clients, and legal professionals. It is incorporated by reference into our Terms and Conditions of Use.

KnowledgeKeepr complies with the Personal Information Protection and Electronic Documents Act, S.C. 2000, c. 5 (PIPEDA) and the British Columbia Personal Information Protection Act, S.B.C. 2003, c. 63 (BC PIPA). Users located in the United States may have additional rights under applicable state privacy laws, as described in Section 11.

2. Information We Collect

2.1 Information You Provide Directly

When you create an account or contact us, we may collect:

  • Your name and email address
  • The name of your organization or employer
  • Any communications you send to us

2.2 Information Collected Automatically

When you use the Service, we automatically collect certain technical information, including:

  • IP address and approximate geographic location derived from it
  • Device type, browser type, and operating system
  • Pages viewed, features used, search queries entered, and time spent on the Service
  • Referring URLs and session identifiers

This information is collected through server logs and analytics tools described in Section 5.

2.3 Payment Information

Payment processing is handled entirely by Stripe, Inc. KnowledgeKeepr does not collect, store, or have access to your full credit card number, CVV, or banking details. Stripe's handling of payment data is governed by Stripe's own privacy policy, available at stripe.com/privacy.

3. How We Use Your Information

We use the personal information we collect for the following purposes:

  • To create and manage your account and provide access to the Service
  • To process and administer your subscription through Stripe
  • To respond to your inquiries and provide customer support
  • To send you transactional communications, including account confirmations, invoices, and service updates
  • To send you marketing communications about KnowledgeKeepr products and services, where you have consented or where permitted by applicable law
  • To analyze usage patterns and improve the functionality, performance, and content of the Service
  • To detect, investigate, and prevent unauthorized access, fraud, or other misuse of the Service
  • To comply with our legal obligations

We will not use your personal information for purposes that are incompatible with those described above without providing you prior notice and, where required, obtaining your consent.

4. Legal Basis for Processing

Under PIPEDA and BC PIPA, we collect and use personal information only with your knowledge and consent, except where the law permits or requires otherwise. By creating an account and using the Service, you consent to the collection and use of your personal information as described in this Policy.

You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us at the address in Section 14. Withdrawal of consent may affect our ability to provide you with the Service.

5. Third-Party Services and Data Sharing

We do not sell your personal information. We share personal information only with the following categories of third-party service providers, solely to the extent necessary to operate the Service:

  • Stripe, Inc. — Payment processing. Stripe collects and processes your payment card information directly. KnowledgeKeepr receives only a payment confirmation token and your billing email. Stripe is PCI-DSS compliant.
  • Google LLC (Google Analytics) — Website analytics. We use Google Analytics to understand how users interact with the Service. We have enabled IP anonymization. You can opt out via the Google Analytics Opt-Out Browser Add-on.
  • Mailchimp (The Rocket Science Group LLC) — Email communications. We use Mailchimp to send newsletters and marketing communications to users who have subscribed to receive them. Mailchimp receives your name and email address for this purpose.
  • HubSpot, Inc. — Customer relationship management. We use HubSpot to manage our relationships with clients, track communications, and support sales and onboarding workflows. HubSpot may receive your name, email address, organization, and records of your interactions with us.

Each of these service providers is contractually obligated to handle your personal information only as directed by us and in compliance with applicable privacy law. We do not authorize them to use your information for their own independent purposes.

We may also disclose personal information: (a) if required by law, court order, or a lawful request by a government authority; (b) to enforce our Terms and Conditions; (c) to protect the rights, property, or safety of KnowledgeKeepr, our users, or the public; or (d) in connection with a merger, acquisition, or sale of substantially all of our assets, in which case we will notify affected users.

6. Cookies and Tracking Technologies

We use cookies — small text files stored on your device — to enable certain features of the Service and to collect analytics data. We currently use:

  • Session and authentication cookies — necessary to keep you logged in and maintain your session.
  • Google Analytics cookies — used to collect anonymized data about how visitors use the Service, including pages visited, time on site, and referral source. These cookies do not identify you personally.

We do not use marketing, retargeting, or advertising pixels (such as Meta Pixel or LinkedIn Insight Tag). We do not engage in cross-site behavioural advertising.

Most browsers allow you to refuse or delete cookies through their settings. Disabling cookies may affect the functionality of the Service, including your ability to remain logged in.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with the Service. If you delete your account, we will delete or anonymize your personal information within 30 days, except where we are required to retain it for legal, regulatory, or legitimate business purposes (such as resolving disputes or complying with our legal obligations).

Anonymized or aggregated data that cannot reasonably be used to identify you may be retained indefinitely for analytical purposes.

8. Your Privacy Rights

Subject to applicable law, you have the following rights with respect to your personal information:

  • Access — You may request a copy of the personal information we hold about you.
  • Correction — You may request that we correct inaccurate or incomplete personal information.
  • Deletion — You may delete your account and associated personal information directly through the Service's account settings. We will process deletion requests within 30 days.
  • Withdrawal of consent — You may withdraw consent to marketing communications at any time by using the unsubscribe link in any email or by contacting us.
  • Complaint — You have the right to lodge a complaint with the Office of the Privacy Commissioner of Canada or the BC Office of the Information and Privacy Commissioner.

To exercise any right other than account deletion (which is self-serve), please contact us at the address in Section 14. We will respond to requests within 30 days and may ask you to verify your identity before processing your request.

9. Data Security

We implement commercially reasonable technical and organizational measures to protect your personal information against unauthorized access, disclosure, alteration, or destruction. These measures include encrypted data transmission (HTTPS), access controls, and regular security reviews.

No method of transmission over the internet or electronic storage is completely secure. While we strive to protect your personal information, we cannot guarantee its absolute security. In the event of a data breach that creates a real risk of significant harm to you, we will notify you and the applicable regulatory authority as required by law.

10. Cross-Border Data Transfers

KnowledgeKeepr is based in British Columbia, Canada. Some of our third-party service providers — including Stripe, Google Analytics, Mailchimp, and HubSpot — are based in or may process data in the United States. By using the Service, you acknowledge that your personal information may be transferred to and processed in the United States, where privacy laws may differ from those in Canada.

We take reasonable steps to ensure that our service providers protect your information to a standard comparable to Canadian privacy law requirements, including through contractual commitments.

11. Additional Information for United States Users

California Residents (CCPA/CPRA). If you are a California resident, you have the right to know what personal information we collect, use, and disclose; to request deletion of your personal information; to opt out of the "sale" or "sharing" of your personal information; and to non-discrimination for exercising your rights. KnowledgeKeepr does not sell or share personal information as defined under the California Consumer Privacy Act. To submit a request, contact us at the address in Section 14.

Other US State Laws. Residents of Virginia, Colorado, Connecticut, Texas, and other states with comprehensive privacy laws may have similar rights. We will honour verifiable requests consistent with applicable law.

12. Children's Privacy

The Service is intended for use by professionals and is not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child without verifiable parental consent, we will delete that information promptly.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the Service, or applicable law. We will post the revised Policy on our website with an updated effective date. For material changes, we will provide notice by email or through the Service. Your continued use of the Service after notice of any change constitutes acceptance of the updated Policy.
